Job description
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide comprehensive administrative support to our senior leadership team. The ideal candidate will be a self-starter with excellent communication skills, capable of managing multiple priorities in a fast-paced environment.
Job Summary
The Executive Assistant will play a crucial role in ensuring the smooth operation of daily administrative functions for our executives. This position requires a high degree of professionalism, discretion, and the ability to anticipate needs and proactively address them.
Responsibilities
- Manage complex calendars, including scheduling meetings, appointments, and travel arrangements (domestic and international).
- Coordinate and prepare for meetings, including drafting agendas, compiling presentations, taking minutes, and following up on action items.
- Handle confidential information with the utmost discretion and integrity.
- Prepare and edit correspondence, reports, presentations, and other documents.
- Act as a primary point of contact for internal and external stakeholders, screening and directing calls and inquiries as appropriate.
- Process expense reports and manage invoices.
- Organize and maintain physical and electronic filing systems.
- Assist with special projects and events as needed.
- Anticipate executive needs and proactively bring together appropriate people and resources to support the executive in addressing issues.
Qualifications
- Proven experience as an Executive Assistant or in a similar administrative role, supporting senior-level executives.
- Exceptional organizational and time management skills, with the ability to prioritize and manage multiple tasks simultaneously.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other relevant software.
- High level of professionalism, integrity, and discretion.
- Ability to work independently with minimal supervision and as part of a team.
- Problem-solving aptitude with a proactive and resourceful approach.
- Bachelor's degree preferred, or equivalent practical experience.
